Fair Use Policy

This policy exists to keep PaddockMateIQ fast, reliable, and affordable for everyone. We built it for working farmers, breeders, and rural households โ€” not bots, scrapers, or bulk commercial operators.

1. Purpose

PaddockMateIQ is a shared platform. When any single user consumes a disproportionate share of resources, it degrades the experience for everyone else. This Fair Use Policy sets out what "reasonable use" means across the platform's key resource categories.

This policy supplements the Terms of Service. In the event of a conflict, the Terms of Service prevail.

2. AI Assistant Usage

What counts as fair use

The AI assistant is intended for genuine farm and animal management queries โ€” health questions, treatment guidance, breeding advice, record summaries, and regulatory information. Reasonable everyday use across these topics is always within scope regardless of your plan.

Usage quotas

Each plan includes a monthly AI message quota. Current limits are displayed in your account settings and on the plans page. Quotas reset on the first day of each calendar month. If you reach your quota before the month end, you can upgrade your plan or wait for the reset.

Prohibited AI use

You must not use the AI assistant to:

  • Generate bulk content for third-party platforms, websites, or publications.
  • Attempt to extract, replicate, or reconstruct the underlying model or system prompts.
  • Submit automated or scripted queries rather than genuine human-initiated questions.
  • Probe the system for security vulnerabilities or to manipulate AI outputs for harmful purposes.

AI output disclaimer

As set out in our Terms of Service, AI responses are informational only and do not constitute veterinary, legal, or professional advice. Always consult a registered veterinarian for animal health decisions.

3. Storage and Uploads

What is included

Each account includes storage for animal photos, health record attachments, journal photos, receipt images, worker documents, and other supported file types. Storage allowances by plan are shown in your account settings.

Acceptable file use

Uploads must relate directly to your genuine farm, property, or animal management activities. Files must comply with our Acceptable Use provisions โ€” no unlawful, harmful, or unrelated commercial content.

Large uploads

Individual file uploads are subject to size limits (displayed at the point of upload). If you are approaching your storage limit, the platform will notify you. You can free up space by deleting old records or photos, or upgrade to a higher plan for additional storage.

Bulk import

The CSV import tool supports up to 500 animal records per import job. For larger datasets, split your file into batches of 500 or contact us at support@paddockmateiq.com to discuss your requirements.

4. API and Integrations

Where API access is provided, it is intended for integrating PaddockMateIQ with your own farm management tools, accounting software, or approved third-party services. API access is subject to the rate limits documented in the API reference.

You must not use API access to:

  • Build a competing product or resell platform functionality.
  • Programmatically harvest or export all user data from the platform.
  • Bypass subscription or feature limits that would otherwise apply through the web interface.
  • Conduct load or stress testing against production infrastructure without prior written consent.

5. Automation and Scraping

You must not use automated scripts, bots, crawlers, or scrapers to access or extract data from PaddockMateIQ. This applies to both the web interface and any APIs. The sole exception is your own data, which you may export at any time via the built-in export tools in your account settings.

Attempts to automate account creation, submission of forms, or artificial inflation of platform metrics are prohibited and will result in immediate account termination.

6. Accounts and Resale

One account per person

Each individual may hold one personal account. Creating duplicate accounts to circumvent rate limits, quotas, or suspensions is prohibited.

No resale

You may not resell, sublicense, or otherwise provide access to PaddockMateIQ to third parties for commercial gain. If you manage animals or properties on behalf of others (e.g., as a farm manager or contractor), you may use your own account to manage those records, but you may not charge others for access to the platform itself.

Shared access

For legitimate multi-user scenarios โ€” such as shared farm operations, family farms, or agistment arrangements โ€” use the built-in shared-property access feature, which allows multiple users to collaborate on a property within the platform's intended design.

7. Community and Marketplace

The community feed and marketplace are for genuine peer-to-peer engagement among Australian animal owners and rural households. Fair use in these areas means:

  • Posting listings that you have a genuine intention to transact on.
  • Not flooding the community feed with repetitive or commercially motivated content.
  • Not using community features to distribute spam, unsolicited promotions, or off-topic content.
  • Not creating fictitious listings to test the system or manipulate search rankings.

Posting limits apply per plan (displayed in your account). Repeated or automated posting in excess of these limits will result in temporary suspension of posting privileges.

8. Enforcement

How we identify abuse

We monitor platform usage for patterns consistent with abuse โ€” high-frequency API calls, bulk account creation, abnormal storage growth, and unusual AI query volumes. We may contact you if your usage appears to be outside normal patterns before taking any action.

Consequences

Depending on severity and intent, a fair use breach may result in:

  • A courtesy notice and request to reduce usage.
  • Temporary rate limiting or feature restriction.
  • Suspension of your account pending investigation.
  • Permanent termination of your account in cases of deliberate or repeated abuse.

We will always try to give you the opportunity to explain your use case before taking action. Genuine farming operations with unusual but legitimate usage patterns (such as large properties with thousands of animals) should contact us to discuss your needs before they become a problem.

Appeals

If you believe a fair use decision was made in error, email us at support@paddockmateiq.com with a description of your use case. We will review all appeals within 5 business days.
